We just went through this scenario just a few months ago. Here is what I
would suggest:
1. set the TTL (Time to live) on your DNS to the shortest value you can. If
this is short, then I believe that this means that those that look up the
address from you will have the shortest time to cache that address before
they have to look it up.
2. Set your DNS to show the new mail server has the highest priority for
being a mail server (MX record). This means setting the priority to the
lowest number of your listed MX records. This will cause those looking to
send you mail, to go to your new PO server.
3. Set your old server to relay all mail to your new server. That way, if
any mail comes in it will go to the new server eventually. Anyone that
cached your old address will eventually, as they renew their cache based on
your TTL, start using your new mail server. A side benefit of this is that
your old server will cache email for you should the PO server go off line.
Once it is back on line, the old server will forward all the mail to the new
one.
4. Have your users drain the old server of any email. If the steps above
have been done, then any new mail will either go directly to the new server
or will be forwarded by the old server. Nothing will stay at the old server
as it comes in.
5. make sure your users are set up to receive mail from the new server.
Once this occurs, you will be good to go and you can take the old mail
server off line if you so choose.
The other way to do this is to just rename your old and new hosts. But that
can have hostname problems if you are not careful.
