I've done this twice in the past year now (moving PO), and what I do is:
1. About a week before switching, I set the time to live (TTL) for the DNS
for each domain down to a couple of hours.
2. The morning of the switch, I set the TTL for the DNS for each domain down
to 5 or 10 minutes.
3. That night, about midnight, I shut down PO on the currently active mail
server. Then I go and switch all my DNS entries to point to the new machine
for mail. After that, I start archiving all of my mail and settings using
Tenon's steps for moving PO (it's on their site). Copy those archives over
to the new mail server, make sure PO is installed already and not running,
and then unarchive the copied files.
By the time all the files are unarchived, the DNS stuff has been switched
over, and I can start PO up on the new mail server.
Each time I've done this, the mail server is probably down for about 1/2-1
hour, but there's no loss of messages, and once I'm back up, the DNS is also
good.
I think that's my general overview of it, anyway. :)
